LOSS & DAMAGE

Accidents happen on live event sets. This policy outlines exactly how Losco Studios LLC (DBA Cosmo Losco Films) navigates equipment damage, missing assets, and transit complications. Our goal is absolute financial transparency—no surprises, no arbitrary fees, and a clear timeline for how claims are evaluated and settled.
I. Incidents Occurring Mid-Rental
If equipment is structurally compromised, dropped, or experiences a functional failure during your rental window, please notify our studio team immediately at production@loscostudios.com. Do not wait until your return date to report an issue.
When messaging us, please include:

A brief, one-sentence description of the incident.

The approximate date and time of the occurrence.

One or two clear smartphone photographs if there is visible hardware damage.
Why Mid-Rental Notices Matter: Logging a mid-rental issue never increases your liability. Instead, it allows our team to immediately diagnose the problem and determine if we can overnight emergency replacement gear to your venue so you don't miss a moment of your wedding weekend.
II. Handling Missing Components & Lost Accessories
Before sealing your return shipping container, please perform a final inventory check using the physical pack list enclosed in your transport box.
If an accessory was inadvertently left behind at your venue or hotel, please note it on your return checklist or email us right away. We prioritize open communication and prefer a delayed, tracked arrival of a missing piece over a sealed box that forces an immediate replacement claim.

Missing items not recovered are billed at the flat replacement rates outlined in our Equipment Protection Plan disclosure.

Please note that the optional $50 Protection Plan does not cover missing or unreturned property.
III. Outbound Transit Issues & Package Disputes

Damaged on Arrival: We require all clients to perform a mandatory functional test within 24 hours of package delivery. If any component arrives mechanically defective or structurally damaged from transit, email us immediately with a brief smartphone video demonstrating the issue. Verified dead-on-arrival equipment is replaced immediately via expedited shipping at absolute zero cost to you.

Lost Outbound Packages: If official USPS carrier tracking indicates that your Production Pack was permanently lost in transit and never successfully delivered to your address, the Studio assumes full financial responsibility. We will either overnight a replacement unit (if timeline boundaries permit) or issue a 100% immediate refund of your rental total, at your election.

Porch Piracy & Post-Delivery Disappearances: Once the USPS registers a definitive "Delivered" tracking scan to the exact address provided at checkout, the Studio's baseline fulfillment responsibility concludes. If a package is stolen from a residential porch or building entryway after a verified delivery scan, the Studio cannot absorb the loss, and porch piracy is strictly excluded from our Protection Plan. In these instances, you must file a claim with your homeowner's or renter's insurance provider and file a formal police report if the total equipment value exceeds $500. The Studio will gladly provide tracking data logs and carrier delivery coordinates to assist your insurance investigation.

Lost Inbound Returns: The Studio assumes all logistical risks for the return journey, provided you utilized our included prepaid return label. As long as official USPS tracking confirms that the package received an initial intake scan at a post office or from a postal carrier, you are fully absolved of liability if the carrier subsequently loses the package on its way back to our Woodbury, NJ studio.
IV. The Studio Damage Evaluation & Billing Process
When a Production Pack returns to our facility, our intake team processes claims using a strict, multi-step verification protocol:

Physical Intake & Documentation: Every returned kit is systematically unboxed, inspected, and cross-referenced with your original order manifest and return checklist. Tech inspectors photograph any visible damage or structural wear.

Repair Cost Assessment: If structural or internal electronic damage is identified, our team generates a formal quote based on authentic factory repair center pricing (e.g., Sony, DJI, Canon) or current retail replacement costs for identical SKUs via established industry suppliers like B&H Photo or Adorama. Every single line item in our claim will cite a verifiable source link.

Itemized Claims Notification: Within five (5) business days of receiving your package, the Studio will issue a formal email outlining our findings. This notice includes itemized repair lines, photographic documentation, manufacturer source links, and active Equipment Protection Plan calculations showing your capped deductible balance (if opted-in).

The 5-Day Dispute Window: You have a strict window of five (5) business days from the receipt of our claims email to review the assessment, submit your own written explanation, or offer counter-photographic evidence. Our studio management reviews all client disputes in good faith to reach a fair resolution.

Processing the Charge: Upon the closure of the 5-day dispute window (or immediately if you confirm agreement via email), the finalized claim balance will be processed using your payment method on file under the Authorization to Charge clause of your contract.
Studio Security Control: Any damage assessment or asset replacement total totaling $500 or more strictly requires secondary administrative authorization inside our internal portal before a charge can be initiated, preventing arbitrary or automated overcharges.

Final Receipt: Once the balance is successfully cleared, an automated transaction receipt containing the complete itemized claim breakdown will be dispatched to your email for your financial records.
V. Policy Stability & Dispute Escalation

Plan Impact: Choosing to purchase our optional $50 Equipment Protection Plan does not alter our physical intake or evaluation process. Our team inspects every single production kit with the exact same objective parameters; the plan simply dictates whether your out-of-pocket exposure is capped at a $250 deductible or open to full market values at the conclusion of the claim.

Escalating Disagreements: Our studio is fully committed to avoiding stressful legal conflicts. If an evaluation feels fundamentally inaccurate, please respond directly to the claims notification email within your 5-day window with your reasoning. In the rare circumstance that a mutual agreement cannot be achieved via direct email communication, the formal mediation rules set forth in the Reservation Terms shall govern all subsequent steps.
